Client Interview: Why You Need Professional Project Management

Updated: Feb 17

  • Client: Full-time executive in national role for global company

  • Property: Townhouse with 2 bedrooms and 1.5 bathrooms

  • Renovation objective: Update kitchen, laundry, and powder room

As a diploma-qualified interior designer and Design Institute of Australia member, I've managed numerous renovation projects for busy professionals. This interview demonstrates why professional project management makes renovation feasible for people with demanding careers.

Read Cathy's experience using professional project management for kitchen renovation whilst working demanding executive role. Real client insights.

The Interview

360 Design Studio ("360"): Cathy, it was pleasure working with you, and we really appreciate your time in doing this interview. Can you please start by telling our readers bit about yourself and the project?

Cathy: I'd decided to renovate my kitchen (original to my 1990's townhouse build) and just assumed I would arrange everything myself. As someone who loves to cook and entertain, I knew exactly what I wanted.

At time of the renovation, I was national manager in large global company. The job was very demanding and involved fair bit of travel around country working with project teams as well as managing my BAU function. Weekends didn't really exist at this time so not sure how I thought I was going to manage renovation as well!

I had been wanting to do renovation for some time but thought of being without kitchen, having my home turned upside down during renovation, and having to take time out of very busy work schedule prevented me from getting it done.

Discovering 360 Design Studio

360: How did you hear about us and what made you engage us to design and deliver your project?

Cathy: I had heard of 360 Design Studio from friend who used your Interior Design service and decided to call for chat. I knew what I wanted and had plans finalised. I just wanted someone to project manage renovation, to be there for delivery of materials, to organise and schedule different trades, and to make sure everything went to plan. Knowing what they do now, I would definitely call them in earlier to provide plan as well.

From our first conversation what impressed me was Vinti's honesty and professionalism. She has good technical understanding and was quickly able to point out changes (without compromising on quality) which would enable me to also renovate my laundry/powder room within my original budget!

Given everything else that was going on at time I was confident in having Vinti handle whole project. I just didn't have time to run around and find product, get quotes from tradesmen not to mention overseeing them and keeping them on track for duration of renovation. It saved me so much time and stress. I think it might have all gone into "Too Hard" basket if I hadn't engaged 360 Design Studio. Like many others I worked long days/weekends and was beginning to wonder how I'd manage to juggle it all.

Why this matters:

This highlights common dilemma of professionals who:

  • Know what they want aesthetically

  • Lack time for coordination and management

  • Face renovation paralysis from overwhelming logistics

  • Need professional support to make project feasible

My 24 years financial and project management experience and systematic approach through Trade & Materials Schedule provides structure busy professionals need.

Design Recommendations

360: What did you think about our interior design recommendations?

Cathy: I'm so happy with my kitchen! You quickly understood my needs, challenges with my current kitchen, and what I wanted from renovation in terms of look and function. Understanding that I'm keen traveller you were able to give me "European" look that I wanted.

Practical cost-saving options:

I was really impressed with your ideas and options you gave me such as:

Cabinet retention:

  • Keeping kitchen cabinetry

  • Replacing only doors, drawer fronts, and handles

  • Significant cost savings

  • Achieving updated look without full replacement

Benchtop transformation:

  • Option to transform old laminate benchtops

  • Look and feel like granite

  • Fraction of cost of granite benchtops

  • Professional finish without premium price

Client autonomy:

Importantly you didn't push me — rather you provided options and let me make decisions.

This demonstrates professional design approach:

  • Presenting multiple solutions at different price points

  • Explaining pros and cons objectively

  • Empowering client decisions

  • No pressure tactics or hidden agendas

My Diploma in Interior Design (Interior Design Institute, 2024) taught me how to present cost-effective alternatives whilst maintaining quality and aesthetics.

Proactive Planning

Cathy: Your advice to get living room painted at same time I was renovating kitchen made so much sense and prevented future upheaval! It also saved lot of money (and hassle) as painters didn't have to come back again. Whole ground floor looks great. It's made such difference over last couple of years while I've been working from home.

Why this matters:

Professional designers see opportunities clients miss:

  • Coordinating related work saves money

  • Painters already on site, scaffolding erected

  • Colour flow between spaces

  • Avoiding future disruption

This proactive thinking delivers value beyond initial brief.

Practical, Budget-Conscious Advice

Cathy: What I valued most was practicality of your advice. You understood me, my budget, and what I wanted to achieve.

The surprising cost reality:

Biggest surprise was that total including your interior design and Project Management fees were no more than my budget for doing it myself. That's value of having someone with relationships in industry.

Why professional services cost same or less:

Trade discount access:

  • 100% passed through to clients

  • Wholesale pricing vs retail

  • Savings typically 20-40%

Efficiency gains:

  • Right first time (no rework)

  • Proper planning (no scope creep)

  • Experienced trades (work faster, better)

  • Professional oversight (quality maintained)

Hidden DIY costs avoided:

  • Time away from work coordinating

  • Mistakes requiring remediation

  • Multiple site visits managing trades

  • Stress and relationship strain

As co-founder of Dezinery (Australia's marketplace for recycled and reusable homewares), I understand cost-effective solutions and sustainable alternatives that stretch budgets further.

What Sealed the Deal

360: You initially came to see us for our Project Management service but when you understood we also offered interior design services, you had us review your plans and make suggestions. What sealed deal for you?

Cathy: For me there were four aspects:

1. Fixed-price service offer

Fixed-price service offer was really attractive. Importantly, Project Management service fees were based entirely on your time and expertise, rather than as percentage of project cost.

Why this matters:

Percentage-based fees create conflict of interest:

  • Designer incentivised to increase project cost

  • No motivation for cost-effective solutions

  • Budget naturally inflates

Fixed fees based on time and complexity:

  • No conflict of interest

  • Designer motivated to find cost-effective solutions

  • Budget certainty from start

  • Transparent pricing

2. Trade discount pass-through

Your ability to access trade discounts and pass these on was significant part of keeping my project within budget.

Real impact:

  • Savings offset professional fees

  • Access to better quality within same budget

  • Long-standing supplier relationships

  • No mark-up on materials

3. Speaking same language as trades

You could speak same language as tradespeople (which I certainly don't!). This meant you were able to explain things in way that I could understand, provide me with options, costs, pros and cons. This allowed me to feel in control of project, understanding what was happening all time.

Translation services:

Professional project managers bridge gap between:

  • Technical trade language and client understanding

  • Building code requirements and practical implications

  • Cost implications and design decisions

  • Options and recommendations

This communication skill is often undervalued but critically important.

4. Client confirmation

Confirmation from other clients regarding fact that you would deliver what you said you would.

Professional accountability:

References and testimonials provide:

  • Proof of past performance

  • Confidence in capabilities

  • Reassurance about process

  • Evidence of reliability

Design Institute of Australia membership adds professional accountability through code of conduct and dispute resolution processes.

The Value Proposition

Cathy: All four aspects were important to me. For many renovation services, professional service is included in overall cost and it's hard to really know what cost of this advice is. I really liked fact that I knew what your fee was and that it wasn't affected by project and material costs.

Transparency matters:

Clear fee structure enables:

  • Budget certainty

  • Understanding value received

  • Confidence in no hidden costs

  • Objective advice without conflicts

Peace of Mind

Cathy: Most importantly though was fact that you took stress out of kitchen renovation for me. I couldn't afford to be chasing trades and having to be at home to provide them with access (pre-COVID). Being without kitchen isn't ideal and I wanted it completed without delay once we started. Having Vinti there as my eyes and ears (and let's not forget being able to understand terms tradespeople use!) just made it so easy. For any future renovation project I wouldn't hesitate to use 360 Design Studio.

Why professional oversight matters:

Time savings:

  • No taking time off work for trade access

  • No chasing quotes and scheduling

  • No site visits during workday

  • Continue normal life whilst project progresses

Stress reduction:

  • Professional handles unexpected issues

  • Daily site oversight maintains quality

  • Communication translated both directions

  • Timeline maintained despite challenges

Quality assurance:

  • Professional standards enforced

  • Building code compliance verified

  • Materials match specifications

  • Workmanship meets expectations

Lessons from Cathy's Experience

1. Professional project management makes renovation feasible

Without professional support:

  • Cathy couldn't have proceeded

  • Project would have gone to "Too Hard" basket

  • Time demands were prohibitive

  • Stress levels unacceptable

With professional support:

  • Project completed successfully

  • Minimal stress or disruption

  • Continued working throughout

  • Extended scope within budget

2. Fixed-fee structure delivers value

Compared to percentage-based fees:

  • No conflict of interest

  • Cost-effective recommendations

  • Budget certainty

  • Transparent pricing

Compared to hourly fees:

  • No incentive to extend timeline

  • Efficiency encouraged

  • Predictable total cost

3. Trade discounts offset professional fees

Real client experience confirms:

  • Total cost same or less than DIY

  • Access to better quality within budget

  • Savings 20-40% on materials

  • Professional fees effectively free

4. Communication skills bridge gaps

Professional project managers:

  • Translate technical language

  • Explain options clearly

  • Present pros and cons objectively

  • Empower informed decisions

5. Professional accountability provides confidence

  • Code of conduct adherence
